Back Office Executive

 

Description:

  • Administrative Support: Provide administrative support to various departments within the organization, including data entry, document processing, and file management. Assist in the preparation of reports, presentations, and correspondence as needed. Coordinate meetings, appointments, and travel arrangements for management and staff.
  • Data Entry and Management: Enter and update data accurately into databases, spreadsheets, and other software systems. Maintain data integrity and ensure that information is organized and accessible for analysis and reporting purposes. Perform regular data quality checks and resolve discrepancies or errors as needed.
  • Customer Service and Support: Respond to customer inquiries and requests via email, phone, or other communication channels. Address customer concerns and complaints in a timely and professional manner, escalating issues to the appropriate department or supervisor as needed. Maintain customer records and ensure that customer information is up-to-date and accurate.
  • Documentation and Record Keeping: Manage and organize electronic and physical files, records, and documents in accordance with company policies and procedures. Ensure compliance with regulatory requirements and industry standards for record keeping and document retention. Retrieve and retrieve documents as needed and assist with document archiving and disposal.
  • Coordination and Communication: Coordinate with internal departments, external vendors, and business partners to facilitate smooth workflow and communication.Communicate effectively with team members and stakeholders to ensure that tasks and projects are completed on time and according to specifications. Serve as a point of contact for inquiries and requests from internal and external stakeholders.
  • Process Improvement and Efficiency: Identify opportunities for process improvement and efficiency gains in back-office operations. Recommend and implement solutions to streamline workflows, automate repetitive tasks, and reduce manual effort. Monitor key performance indicators (KPIs) and metrics to track the effectiveness of back-office processes and initiatives.
