Description:
The Back Office Executive is responsible for managing a variety of administrative and clerical tasks that support the operational functions of the company. This role requires a detail-oriented individual with strong organisational skills, the ability to handle multiple tasks, and the capability to work efficiently in a fast-paced environment.
Key Responsibilities
- Data Management:
- Enter, update, and maintain accurate data in company databases.
- Generate and distribute reports as required.
- Ensure data integrity and accuracy.
- Document Handling:
- Prepare, manage, and store documentation.
- Handle physical and electronic filing systems.
- Retrieve documents as needed for various departments.
- Administrative Support:
- Assist with daily administrative tasks and projects.
- Provide support to front office staff and other departments.
- Schedule and coordinate meetings, appointments, and events.
- Financial and Accounting Tasks:
- Process invoices, expense reports, and other financial documents.
- Assist with accounts payable and receivable functions.
- Reconcile financial discrepancies by collecting and analyzing account information.
- Communication:
- Handle incoming and outgoing correspondence.
- Communicate effectively with clients, suppliers, and team members.
- Coordinate with internal departments to ensure smooth operations.
- Compliance and Reporting:
- Ensure compliance with company policies and procedures.
- Prepare and submit regular reports to management.
- Assist with audits, inspections, and compliance checks.
- Technical Support:
- Maintain office equipment and supplies.
- Provide technical support and troubleshooting for office systems.
- Ensure the proper functioning of IT and other office infrastructure.
Qualifications
- Education:
- Bachelors degree in Business Administration, Finance, or related field.
- Experience:
- Previous experience in a similar role is preferred.
- Technical Skills:
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Familiarity with database management and accounting software.
