Back Office Executive

 

Description:

The Back Office Executive is responsible for managing a variety of administrative and clerical tasks that support the operational functions of the company. This role requires a detail-oriented individual with strong organisational skills, the ability to handle multiple tasks, and the capability to work efficiently in a fast-paced environment.

Key Responsibilities
 

  • Data Management:
    • Enter, update, and maintain accurate data in company databases.
    • Generate and distribute reports as required.
    • Ensure data integrity and accuracy.
  • Document Handling:
    • Prepare, manage, and store documentation.
    • Handle physical and electronic filing systems.
    • Retrieve documents as needed for various departments.
  • Administrative Support:
    • Assist with daily administrative tasks and projects.
    • Provide support to front office staff and other departments.
    • Schedule and coordinate meetings, appointments, and events.
  • Financial and Accounting Tasks:
    • Process invoices, expense reports, and other financial documents.
    • Assist with accounts payable and receivable functions.
    • Reconcile financial discrepancies by collecting and analyzing account information.
  • Communication:
    • Handle incoming and outgoing correspondence.
    • Communicate effectively with clients, suppliers, and team members.
    • Coordinate with internal departments to ensure smooth operations.
  • Compliance and Reporting:
    • Ensure compliance with company policies and procedures.
    • Prepare and submit regular reports to management.
    • Assist with audits, inspections, and compliance checks.
  • Technical Support:
    • Maintain office equipment and supplies.
    • Provide technical support and troubleshooting for office systems.
    • Ensure the proper functioning of IT and other office infrastructure.

Qualifications
 

  • Education:
    • Bachelors degree in Business Administration, Finance, or related field.
  • Experience:
    • Previous experience in a similar role is preferred.
  • Technical Skills:
    • Proficiency in MS Office (Excel, Word, PowerPoint).
    • Familiarity with database management and accounting software.
  • Soft Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • High attention to detail and problem-solving skills.

Working Conditions
 

  • Office environment with standard working hours.
  • May require occasional overtime or weekend work depending on project deadlines.
