Description:

We are seeking a proactive and detail-oriented Customer Service Representative to join our team. The ideal candidate will be responsible for handling a variety of administrative tasks, addressing customer complaints, managing scheduling inquiries, and providing exceptional support through calls and other communication channels. This role requires excellent communication skills, organizational abilities, and a customer-centric mindset.

Key Responsibilities:

  • Administrative Support:
  • Maintain and update customer records in the database.
  • Prepare and organize reports, forms, and other administrative documentation.
  • Coordinate with other departments to ensure seamless operations.
  • Complaint Resolution:
  • Receive and log customer complaints.
  • Investigate and resolve issues promptly while maintaining customer satisfaction.
  • Escalate complex cases to the appropriate team members when necessary.
  • Schedule Management:
  • Handle inquiries related to scheduling and appointments.
  • Provide customers with accurate and timely updates on their requests.
  • Communication:
  • Answer incoming calls and respond to emails and messages professionally and courteously.
  • Provide product or service information and guide customers as needed.
  • Proactively follow up on customer inquiries to ensure satisfaction.
  • Other Tasks:
  • Monitor and manage feedback from customers to improve service quality.
  • Support the team in achieving customer satisfaction and operational goals.

Qualifications:

  • Proven experience in customer service or a similar administrative role.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and customer service software/tools.
  • Ability to multitask, prioritize, and manage time effectively.
  • A customer-focused attitude and a problem-solving mindset.
  • Familiarity with scheduling systems or CRM platforms is a plus.
