A Front Office Agent/Receptionist working with us entails the following:
- To process all guests check-ins by confirming reservations in Opera verifying guest identity, requesting form of payment, assigning room, and issuing room key in accordance with property policies and procedures
- To secure valid form of payment (e.g. credit card, cash) prior to issuing room key
- To set up accurate accounts for each guest upon check in according to their requirements
- To activate room keys using electronic key machine (Salto) and reissue new room keys to guest as necessary (e.g. lost key) by verifying guest identity and using electronic key machine
- To assign room according to guest request and preferences whenever possible
- To verify and adjust billing for guests
- To process all check-outs including express check-outs, resolving any late and disputed charges, settling account, retrieving room keys, and requesting comments on guest’s stay
- To advise guest of any messages (erg voicemail, mail faxes) received for them, and send to room if required
- To accommodate requests for room changes when possible
- To assist with Stay Over reservations
- To file guest paperwork or documentation respecting GDPR guidelines
- To sell a room/accommodation to guests without reservations based on availability
- To communicate and prioritise rooms on ‘Q’ and keep track of changes in room status
- To co-ordinate with Housekeeping to track readiness of rooms for check-in and to report guest concerns
- To confirm reservations and cancellations
- To instruct guests on how to access the internet and hotel facilities (spa, restaurants)
- To run daily reports (number of arrivals, departures), identify any special requests, and check reports for accuracy
- To complete designated cashier and closing reports in Opera and to prepare the adjustment forms needed for finance
- To run credit card authorization report and check for discrepancies
- To charge late charges on guests bills (Minibar, Laundry, Cowshed products)
- To update guests details in the system according to the information provided on the Registration Card
